Front Desk Reception

Job Summary
**This announcement will be used to fill up to two vacancies.**

As a Front Desk Receptionist for the St. Paul Minnesota Pollution Control Agency (MPCA) building, you are part of a two-person team serving as primary contacts for staff and visitors of MPCA, Environmental Quality Board (EQB), Minnesota IT Services (MNIT), and the Board of Water and Soil Resources (BWSR). You will work in close collaboration with the security guard in greeting, registering, and directing staff and visitors. This requires you to provide responsive service to customers, stakeholders, and the public, who either visit or call the agency. This includes answering the general line and triaging requests, greeting visitors, issuing security access cards, managing onboarding of large groups of visitors for board meetings, public meetings or other large groups of visitors, managing visitor parking issues, defusing contentious situations, maintaining the agency’s IRI contact information databases, and serving as a conference room coordinator. Furthermore, you will be responsible for managing the inventory of agency office supplies and ensuring staff orders are within the approved supplies list.

Minimum Qualifications
Candidates must clearly demonstrate the following qualifications:
  • Skill in customer service to provide prompt, courteous and accurate information to customers in person, on the phone, and through e‐mail and other written correspondence.
  • Skill in customer service to effectively communicate and elicit information with tact and diplomacy in difficult situations.
  • Skill in customer service to convey complicated information in an understandable manner as an expert resource for outside agencies and individuals and solve problems in a prompt way using discretion.
  • Ability to communicate with customers, employees, and other individuals to answer questions, explain information, take orders, and address complaints.
  • Proficiency in using standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect them.
  • Knowledge of English sufficient to write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction.

Preferred Qualifications
  • Experience providing effective customer service support to the public in a high traffic area.
  • Demonstrated ability to follow through on commitments to customers.
  • Exceptional organizational and time management skills sufficient to multitask and prioritize competing demands for your attention.
  • Interpersonal/human relations skills, service orientation, and professional savvy sufficient to interact effectively with all levels of management and staff.
  • Experience deescalating contentious situations with the public.
  • Proficiency using Microsoft Word, PowerPoint, Excel, and Access.
