Administrative Assistant - Legal background desired - Remote

At American Retrieval you will act as a personal Client Services Representative and build relationships with medical providers and record custodians to get records quickly on behalf of our clients. Our clients are legal professionals working to resolve personal injury claims for injured people. We are problem-solvers and are confident in troubleshooting and searching for answers to resolve client concerns.

This position is the first step in advancing to a Team Lead role within 6-9 months.

Responsibilities

  • Manage large amounts of outbound calls
  • Identify and assess record custodian's needs so they can quickly return requested records to our clients
  • Build trust and sustainable relationships with clients and record custodians through open and interactive communication
  • Provide accurate, valid and complete information by using the correct methods/tools
  • Meet personal/client service team goals
  • Handle client concerns, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution

Skills

  • Previous para-legal and/or medical record retrieval knowledge highly preferred.
  • Proven customer support experience or experience as a client service representative
  • Strong phone contact handling skills and active listening
  • Familiarity with CRM systems and practices
  • Customer orientation and ability to adapt/respond to different types of personalities
  • Excellent communication skills
  • Ability to multi-task, prioritize, and manage time effectively
