Health Information Management System Specialist

Job Summary
The Health Information Management Systems Specialist works within a team to deliver quality record management outcomes. As the heartbeat of any healthcare facility, the individuals within this department bridge roles, connecting clinical, operational and administrative functions to all clientele. These professionals affect the quality of patient/client information at every touch point within the program while maintaining the highest standards of data integrity, confidentiality and health information security.
Primary Responsibilities Include:
·        Processing and maintaining client records (paper and electronic) and ensuring compliance with policies, best practices and regulatory requirements
·        Providing accurate and complete client records which includes participating and contributing to discussions and processes that support timely customer services outcomes
·        Reviewing client records for quality control, identifying deficiencies and taking corrective action as needed based on policy and regulations of licensing standards
·        Maintaining a system of inventory and accountability for active, historical, medical and treatment records, court records, court exhibits, confidential records, and records received from other agencies



Minimum Qualifications:

·        Customer Services skill sufficient to provide courteous, prompt and effective services in person, on the phone or via email
·        Data Entry skills sufficient to locate, update, and retrieve health information from a variety of databases
·        English language skills sufficient to read, write, and understand with proficiency in spelling, grammar, and punctuation used in medical/treatment records
·        Physical demands include standing, sitting, lifting, and stooping to file paper documents in charts or box storage
·        Specialized terminology skills including medical terminology
·        Typing/Keyboarding skills sufficient to complete a variety of reports, letters, forms, and data summaries
·        Word processing skills sufficient to develop, format, and modify a variety of correspondence, records, reports and forms
Preferred Qualifications:
·        Experience within the records management field, medical terminology or electronic medical records
·        Experience with data systems such as FileNet, Phoenix, Electronic Document Management System (EDMS)
·        Knowledge of the provisions of Minnesota Government Data Practices, Federal Health Insurance Portability and Accountability Act (HIPAA) laws and records best practices
