Division Services Administrator - CONFIDENTIAL

SUMMARY:
The Minneapolis Park and Recreation Board is searching for an experienced and adaptable Division Services Administrator to coordinate, monitor, and assess administrative activities and perform clerical support functions for a Division Assistant Superintendent while consistently applying industry best practices. Confidential position that supports union negotiations and negotiation team for collective bargaining agreements. Ensure that Division programs, contracts, and Professional Services Agreements are delivered equitably, consistently, efficiently and effectively within the Division and are in alignment with the mission, vision, values, goals and objectives of the MPRB. In supporting Division-wide staff, this work will be accomplished by exhibiting cultural proficiency and awareness while utilizing this position to meet the needs and interests of diverse communities.
This position will be required to work off-site, as well as occasional evenings and weekends. 
 
What You Will Do:
  • Responsible for the coordination of the day-to-day administrative and clerical support to the Division Assistant Superintendent.
  • Expertly perform a variety of complex administrative support functions specific to a Division Assistant Superintendent including, but not limited to; preparing, editing, reports, documents, answering and redirecting inquiries and correspondence, scheduling meetings, telephone responses, filing and copying as needed and directed by Assistant Superintendent or designee.
  •  Provide support to Department and Division meetings including both offsite and evening meetings as required.
  • Provide assistance in preparing Department and Division agenda items, supporting documents and meeting minutes for various Board of Commissioner, public and department meetings.
  • Prepare analysis, reports and presentations that can be effectively used in decision-making and that are in support of division management, the Office of the Superintendent and the Park Board to ensure they meet the current and future needs and demographics of Minneapolis neighborhoods and the city and integrate the mission, goals, policies and priorities of the MPRB.
  • Lead projects that may include; actively working with skilled trades, assist technical staff with bid documents, procurement process, establish and maintain database of vendors and contracts, project scopes and specifications.
  • Conduct research, gather data, interpret and prepare data for studies and reports as requested.
  • Assist MPRB in identifying and addressing the park and recreation needs of underserved and under-represented communities.

What to Bring:
Need to Have: 
  • Bachelor's Degree from an accredited college or university with a major in Business Administration or Public Administration or related field of study.
  • Increasingly responsible executive administrative support experience: at least four (4) years.
  • Experience in project management: at least one (1) year.
  • An equivalent combination of education and experience may be considered.

Nice to Have: 
  • Experience as a paralegal or similar: at least one (1) year (preferred).
  • Experience in procurement in the public sector: at least one (1) year (preferred).

Skills Crucial to Success in This Role: 
  • Able to work independently with minimal supervision.
  • Provide expert level of administrative support, current technology/computer skills, project management and contracts/procurement.
  • Maintain confidentiality as this position involves access to confidential information including, but not limited to, "labor relations information," as that phrase is defined in Minnesota Statutes Section 13.37.
  • Have command of structure and content of the English language including the meaning and spelling of words, rules of composition and grammar.
  • Organize work, manage time and establish priorities in a fast-paced and professional work environment.
  • Develop and maintain effective and productive working relationship with a wide variety of individuals including MPRB staff of all levels, elected officials, and the general public.
  • Outstanding customer service principles and practices and standards for a diverse customer base.
