Position Summary:

The School of Pharmacy and Pharmaceutical Sciences is seeking an experienced and highly responsible professional to serve as Executive Assistant to the Dean’s Office. Providing high level administrative support, the incumbent must exercise sound and independent judgement in support of the Dean, Associate and Assistant Dean’s, faculty and students. The successful candidate will build and sustain strong and cooperative relationships with the University community. This self-directed professional will perform tasks and responsibilities that maximize the effectiveness of the Dean. They must be able to independently manage the day-to-day workflow, along with prioritizing various projects. Examples of the work to be performed include, but are not limited to:

• Provide advanced administrative support to the Dean by performing complex, varied and confidential administrative functions
• Function as a work leader to direct office activities. Prioritize and address activities of the office and work as a liaison between the Dean and his executive staff, department chairs as well as the President, Provost and Dean’s offices and external constituencies. Interact regularly and diplomatically with a diverse group of internal and external callers and visitors
• Budget management of Deans Office operating budget including monitoring spending, providing reports and oversight of expenditures. Prepare reimbursements and expenditures for senior management. Develop and maintain a high level of efficiency as a user in the university’s financial systems
• Provide administrative oversight for ACPE accreditation review and ACPE team site visits, including participation on committee for administrative standards
• Proof read ACPE draft narrative for 25 standards
• Create reports and other output materials in support of various confidential student admissions activities: PharmCAS, GEMS, WebAdMIT
• Maintain student, staff and faculty assessment data and create reports for generation based on AACP surveys


Minimum Qualifications:

● Bachelor’s Degree in related field or an equivalent combination of education and experience

● Proficiency with Microsoft Office, specifically advanced knowledge of Outlook, Word and Excel

● Strong interpersonal communication skills, including verbal and written, active listening and critical thinking. Ability to communicate clearly and respectfully with diverse populations including faculty, senior leadership, staff, students, alumni and guests

● Ability to handle restricted and sensitive information in accordance with school and university policies. Ability to maintain confidentiality, attention to detail, and accuracy in all areas of responsibility

● Possess a strong sense of accountability and be self-motivated. Must be able to work independently with minimal direction and exhibit good judgment


Preferred Qualifications:

● Responsibility with special projects, supporting faculty and senior staff in a fast paced environment

● Administrative experience and analytical skills to prioritize workload while ensuring multiple simultaneous projects are completed within expected deadlines

● Experience with University at Buffalo policies and procedures
