Administrative Assistant, Senior

The Department of Community Corrections and Rehabilitation
(DOCCR) has an opening for a Senior Administrative Assistant in
their Administration Division providing support to the Department
Director.

The mission of the DOCCR is to promote community safety,
community restoration, and reduce the risk of re-offense.

The primary duties and responsibilities of this position
include: •Provide administrative assistance to the department
director; plan, develop, and coordinate various administrative
activities on behalf of the department.
•Participate in budget review, priority setting, and staffing
discussions with the executive team, fiscal manager and division
managers; approve expenditures in APEX.
•Staff Joint Bench Board Corrections Committee meetings, DOCCR
Executive Team, Adaptive Leadership Group meetings, and Employee
Engagement Committees.
•Field questions and requests from the public, commissioners,
judges, county administration, human resources, and department
staff; research solutions and respond.
•Coordinate staffing and human resources functions by
participating in hiring panels; serve as office
coordinator/manager to ensure that adequate coverage is arranged,
projects are completed, and requests receive an appropriate
action or response; provide supervision for up to two support
positions.
•Serve as department liaison/coordinator for the Employee
Recognition Program, HR Leadership Academies, and other
initiatives.
•Screen, prioritize, and answer phone calls and routine
correspondence.
•Attend management meetings and take meeting minutes for
distribution; coordinate meetings and prepare materials;
participate in DOCCR executive team meetings and discuss
potential impact and strategize alternatives.
•Perform tasks and deal with issues of a confidential nature
and resolve routine administrative problems on behalf of the
administrator; supervise a functional clerical phase of
departmental operating program, including making decisions in
accordance with generally established policy, handling public
contacts, and establishing work procedures and assignments.
•Recognize and respect cultural differences and provide
culturally appropriate services.
Best Qualified Candidates will have: •One of the following:
◦Bachelor's degree or higher in criminal justice, behavioral
science, public administration, business administration,
corrections administration, or a closely-related field and four
or more full-time equivalent years of experience in corrections.
◦An equivalent combination of education and experience to equal
at least eight years.

•Experience as an assistant or executive assistant to an
elected official.
•Experience maintaining a high level of confidentiality;
demonstrable discretion when dealing with sensitive,
confidential, and proprietary information.
•Highly effective written and verbal communication skills
allowing translation of research findings into correctional
practice in a practical and sustainable manner.
•Advanced skill in computer applications including SharePoint
and Microsoft Word, Excel, and Outlook.
•Strong organizational skills, flexibility, and the ability to
work productively on a team.
•Ability to: ◦Foster and maintain effective working
relationships with stakeholders and customers.
◦Work effectively with an increasingly diverse client
population.


Under facility licensing requirements, positions at the County
Home School and/or Juvenile Detention Center are required to
undergo a Department of Human Services Background Study (MS
245C.13). Convictions for certain crimes will have an effect on
your ability to be hired according to the disqualification
schedule listed in Minnesota Statute 245C.15. Individuals
convicted for any level of Criminal Sexual Conduct are
disqualified from being hired into any position within the DOCCR
under the Prison Rape Elimination Act (PREA). Other past
involvement with the criminal court system will not automatically
disqualify you from working at the DOCCR; individual
circumstances are reviewed and evaluated confidentially. If you
do not know your exact conviction information, you can refer to
your sentencing order or contact the county where you were
convicted.
