Administrative Assistant

THE POSITION
The Financial Analysis & Accounting Division of Hennepin County's Health and Human Services (HHS) Department is seeking an Administrative Assistant to join the Estate Recovery Area in working to recover Medical Assistance (MA) funds and applicable assets for Hennepin County.

The primary duties and responsibilities of this position include:
  • Identify new cases from multiple sources of information
  • Contact authorized representatives and next of kin for necessary information
  • Obtain final accounting of deceased client's assets
  • Respond to client inquiries and resolve issues in regards to estate collection
  • Establish and maintain medical assistance estate recovery files
  • Evaluate estate forms and verify which expenses meet the criteria of allowable estate expenditures
  • Collect estate assets from deceased clients who have incurred MA, General Assistance Medical Care (GAMC), General Assistance (GA) and Alternative Care (AC) charges
  • Obtain medical assistance clearances for property transfers within Hennepin County
  • File appropriate court documents for each case

Best Qualified Candidates will have:

  • One of the following:
    • Bachelor's degree or higher in public administration, business administration, finance, accounting or other field appropriate to the position
    • Note: Experience in general administrative work related to the management of departmental/organizational operations or in a specialty area appropriate to the position may be substituted for education on a year for year basis
  • Experience working in estate recovery and/or a public assistance environment
  • Expertise in using MAXIS, MMIS, and Microsoft Office Suite
  • Excellent interpersonal, written, and verbal communication skills
  • Strong attention to detail, and the ability to ensure timely file reporting to maximize collections
  • Knowledge of, or experience with, accounting functions
  • Ability to:
    • Apply critical thinking skills to make independent judgments about prioritization of tasks in a fast paced environment
    • Handle multiple assignments simultaneously with a high degree of organizational skills
    • Work with protected information and maintain confidentiality
    • Engage with the general public and staff members with tact and discretion, and provide exceptional customer service for internal and external customers
